Privacy Policy

How Jersey Mencap collects, uses and looks after your personal information, and the choices you have.

Last updated: 28 September 2026

The short version

If you only read one part, read this.

  • We only ask for information we need, like your name and email, so we can help you, book your place or reply to you.
  • We keep your information safe. Only our team can see it.
  • We never sell your information. We never give it to other people to send you adverts.
  • You can ask to see your information, change it or delete it. Just call us on 01534 866622.
  • A family member, carer or support worker can help you with any of this.

Who we are

Jersey Mencap supports people with a learning disability across Jersey, and has done since 1967. In this policy, “we”, “us” and “our” means Jersey Mencap.

Jersey Mencap is the data controller for the personal information described here. That means we decide how it is used, and we are responsible for looking after it under the Data Protection (Jersey) Law 2018.

Our data protection lead is Alex Wiles. Alex is the person to contact about anything in this policy, including seeing a copy of your information or making a complaint.

This policy covers our website, jerseymencap.org, and the information you give us through it, by phone, by email or in person.

Health and support information

Some of what you tell us counts as special category data under Jersey law. For us, this usually means information about your health, a disability, dietary needs linked to a medical condition or allergy, or the support you need.

We only collect this when it helps us look after you properly, for example so our team knows about an allergy before an activity, or so we can plan for a carer coming along. We use it with your explicit consent, which you give when you share it with us. In an emergency, where someone’s safety is at risk, we may share it with medical or emergency services to protect them.

You never have to share health information to join or book. If you would rather talk it through with a member of our team instead of typing it into a form, call us on 01534 866622.

Who we share it with

We never sell, rent or trade your personal information. We only share it with trusted organisations that help us run our services, and only what they need to do the job. They are not allowed to use it for anything else.

  • Our website host (Fasthosts), which stores the website and its data on secure servers.
  • Our email delivery service, which sends account, booking and approval emails on our behalf.
  • PayPal, which processes donations. Read PayPal’s privacy statement.
  • Race Nation, which handles entries for the South Coast Charity Challenge.
  • Google, which provides the Google Analytics service we use to count visits, and Google Fonts. Read Google’s privacy policy.
  • Big Bear Digital, our website developer, who may see website data when fixing or improving the site.

We may also share information when the law requires it, or when we need to protect someone from harm, for example with the States of Jersey Police, Health and Community Services or other safeguarding partners.

Information leaving Jersey

Some of the services above store data outside Jersey, usually in the UK, the European Economic Area or the United States. Where this happens, we make sure there are proper safeguards in place as required by Jersey law, such as the country being recognised as having adequate protection, or the use of approved contract terms.

How long we keep it

We keep your information only for as long as we need it, then delete it securely.

  • Enquiries: up to 2 years after we last hear from you.
  • Social Club membership: for as long as you are a member, and up to 2 years after you leave.
  • Booking notes, including health and dietary information: up to 12 months after the activity.
  • Donation and financial records: 7 years, because we are required to keep financial records.
  • Safeguarding records: in line with our safeguarding policy and legal duties, which can be longer.

If you ask us to close your account, we will delete your details unless we have to keep something for a legal reason. If that happens, we will tell you what we are keeping and why.

Keeping it safe

Our website uses a secure connection (the padlock in your browser), and member passwords are encrypted. Only staff and volunteers who need your information to do their job can see it, and they are trained to handle it carefully.

No website can be completely secure, but if something ever goes wrong, we will act quickly. Where required, we will report it to the Jersey Office of the Information Commissioner and tell anyone affected.

Cookies

Cookies are small files a website saves in your browser. We keep them to a minimum.

Cookies we need

These make the website work. They keep you logged in to your Social Club account, remember your bookings while you complete them, and protect our forms from spam. The website cannot work properly without them, so they are always on.

Other services on our pages

Our pages load fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with them. Links to Facebook, Instagram, X and LinkedIn take you to those sites, which have their own cookies and privacy policies.

Visitor statistics

We use Google Analytics to understand how people use the website, which pages are helpful and which need improving. It records the pages you visit, how long you spend on them, how you found us, and roughly where in the world you are. It also records your device and browser type.

These are statistics cookies, and we only set them if you agree. Google Analytics does not store your full IP address, and we do not use it to show you adverts or to try to identify you personally. If you would rather not be counted at all, you can install Google’s opt-out add-on for your browser.

You can block or delete cookies in your browser settings. If you block the cookies we need, you may not be able to log in or book activities.

Your rights

Under the Data Protection (Jersey) Law 2018 you have the right to:

  • See the information we hold about you and get a copy of it.
  • Correct anything that is wrong or out of date.
  • Delete your information, where we no longer have a good reason to keep it.
  • Limit how we use your information while a problem is sorted out.
  • Object to us using your information, including for any news or updates.
  • Take your information with you in a common digital format.
  • Change your mind about anything you gave consent for, at any time.

To use any of these rights, email Alex Wiles at alex.wiles@jerseymencap.org, call us on 01534 866622 or write to us at the address above. You do not need to fill in a form or use special wording. It is free, and we will reply within four weeks. If your request is complicated we may need longer, and we will tell you if so.

Social Club members can also update their name, email and password at any time by logging in to My Account.

Acting for someone else

Many of the people we support have help from family, carers or support workers. If you manage someone’s membership or bookings, or make a request on their behalf, we may ask you to confirm you have their agreement or the legal authority to act for them, such as a delegate or power of attorney. We do this to protect the person whose information it is.

If you share information about someone else with us, such as a carer’s name, please make sure they are happy for you to do so.

Making a complaint

If you are unhappy with how we have handled your information, please talk to us first. We would like the chance to put it right.

You also have the right to complain to Jersey’s data protection regulator at any time.
